How to record a Zoom meeting without a bot

Updated: October 2026·5 min read·Zoom · macOS
Quick answer

You don't need an AI notetaker sitting in your participant list. Three bot-free ways: Zoom's built-in recording (needs host permission, shows a recording notice), your Mac's built-in tools (free but can't capture participants' audio without extra setup), or Whispeak — a recorder on your Mac that captures the call's audio directly, never joins as a participant, and turns it into a speaker-aware transcript with action items.

Why record without a bot at all?

Notetaker bots (Otter, Fireflies, Fathom and friends) are convenient, but they all join the meeting as a visible participant. That causes real friction:

The good news: a bot is one way to capture a call, not the only one.

Method 1: Zoom's built-in recording

Zoom can record the meeting itself — locally to your computer or to the cloud (paid plans).

  1. In the meeting, click the Record button in the toolbar (if you're the host).
  2. Choose Record to this computer for a local file.
  3. When the meeting ends, Zoom converts the recording and saves it to your documents folder.
The catches: if you're not the host, recording must be enabled for participants by the host. Everyone sees a recording indicator the whole time. And the output is a raw video/audio file — a transcript is only included on paid plans, and it's flat text without usable structure. You still have to read the whole thing to find the decisions.

Method 2: Your Mac's built-in tools

Voice Memos and QuickTime are free and already installed — but as we covered in the guide on recording meetings on Mac, neither captures the audio coming out of Zoom (the participants' voices) without installing a virtual audio driver like BlackHole and wiring up a Multi-Output Device. It works, but it's the kind of setup you forget to do five minutes before a client call.

Method 3: Whispeak — a recorder that never joins the call

Whispeak records from your side of the conversation: the app on your Mac captures the system audio — everything you hear through your speakers — plus your own microphone. To Zoom, it's not there. No extra participant, no bot, no permission needed inside the meeting.

  1. Install the Mac app and sign in once. It waits in the background.
  2. When your Zoom call starts, Whispeak notices the conference and offers to record. One click — no meeting participant is added.
  3. When the call ends, accept the transcription prompt. Minutes later you have a speaker-aware transcript, summary, and action items.
  4. The raw audio file stays in a folder on your Mac — not in a vendor's cloud.

Still say it out loud

Recording without a bot doesn't change the etiquette or the law: announce that you're recording at the start of the call. "I'm recording this so I can focus on the conversation instead of typing — any objections?" keeps you on the right side of consent rules in most jurisdictions, and clients almost never mind.

Frequently asked questions

Does Zoom notify participants when you record?

Yes — Zoom's built-in recording shows a recording indicator and consent prompt to everyone. It's transparent by design. If you record from your own device instead, Zoom itself shows nothing, which is exactly why announcing the recording yourself matters.

Do AI notetakers have to join the Zoom call?

In their default mode, yes — bots like Otter's or Fireflies' notetakers appear as a visible participant everyone can see. If that's a problem for client calls or your security policy, a system-audio recorder like Whispeak is the bot-free alternative.

Can I record a Zoom meeting if I'm not the host?

Only with the host's participant-recording permission for Zoom's built-in recorder. A system-audio recorder on your Mac needs no permission inside the meeting — but you should still get everyone's consent to record.

Does this work for Google Meet and Teams too?

Zoom's built-in recording is Zoom-only. Whispeak detects any active web conference in your browser or desktop apps — Meet, Teams, Zoom, or anything else — and records it the same bot-free way.
